1. Introduction

This privacy policy explains how ai.doo ("we", "us", "our") collects, uses, and protects information when you use our website at aidoo.biz, our mobile applications available on the Google Play Store, and our products (including PIKA and VERA). We are trading as ai.doo and are subject to the Isle of Man Data Protection Act 2018 (which provides protections equivalent to the UK GDPR and EU GDPR).

We have designed our website and products with privacy in mind. We do not run analytics platforms, advertising trackers, or sign-up forms that collect personal data.

2. Information we collect

Our web server automatically records standard access logs when you visit aidoo.biz. These logs may include:

Your IP address
Browser user agent string (browser type and version)
Pages requested and timestamps
HTTP status codes and response sizes

We do not operate any analytics platform (such as Google Analytics), display advertising, or collect data through forms on this website.

3. Google Fonts

This website loads fonts from Google Fonts (fonts.googleapis.com). When your browser requests a font file, Google receives your IP address and browser user agent as part of that request. This is the only meaningful third-party data touch point on this site.

4. Our products (PIKA and VERA)

PIKA and VERA are self-hosted applications designed to run entirely within your own infrastructure. Data you enter — including documents, queries, and OCR results — is processed on your own systems. ai.doo does not receive, store, or have access to that data.

PIKA — document intelligence and Q&A via retrieval-augmented generation (RAG)
VERA — OCR validation platform for scanned documents, receipts, and invoices

Both products use local AI models via Ollama. No data is sent to external AI services unless you explicitly configure a cloud endpoint.

4a. Chat widget

The chat widget on aidoo.biz uses OpenAI's API (gpt-4o-mini model) to answer questions about our products. When you send a message through the chat widget:

Your message text is sent to OpenAI's servers for processing
Your IP address is logged by our server for rate limiting
No conversation history is stored — each message is processed independently

OpenAI's data handling is governed by their privacy policy. The chat widget is only used on the marketing site — it is completely separate from the self-hosted PIKA and VERA products.

5. Cookies

This website does not set any cookies. No tracking cookies, session cookies, or third-party cookies are used.

6. How we use information

Server access logs are used solely for security monitoring and troubleshooting purposes. We do not sell, share, or otherwise disclose log data to third parties, except where required by law.

7. Data retention

Server access logs are retained for approximately 90 days, after which they are automatically deleted.

8. Your rights

Under the Isle of Man Data Protection Act 2018 you have the right to:

Access the personal data we hold about you
Rectification of inaccurate data
Erasure of your data ("right to be forgotten")
Object to processing
Data portability
Lodge a complaint with the Isle of Man Information Commissioner (ico.org.im)

11. Data deletion

PIKA and VERA use centralised user accounts managed through the ai.doo Hub. An administrator can disable or delete user accounts from the Hub admin panel. To request deletion of your account or associated data, contact your organisation's administrator or email hello@aidoo.biz.
